When a customer approves a quote — especially after seeing the layout or walking the yard — they believe something specific: that stone, on my kitchen. Not "a slab like it." Not "something similar when we get to it." The gap between what the customer thinks they bought and what the shop actually committed is where the worst service failures in fabrication live.

Slabs sell. That is the whole problem. A distinctive Calacatta with dramatic movement is the most sellable thing in your yard — to the next customer, at the next appointment, the same week. If the quoted slab sits in status limbo, the second sale is a coin flip, and the first customer loses.

What goes wrong without reservation

  • Double-selling the same slab. Two quotes reference the same showpiece slab. One signs first. The other gets a call nobody wants to make — "that stone is gone, can we look at something else?" Trust, once spent, does not come back with a discount.
  • Vein-matched layouts broken. A bookmatch or waterfall plan depends on specific slabs from the same bundle. Substitute stone is not a substitute — the seam you engineered does not exist on the replacement. The layout has to be redone and the customer's expectation with it.
  • Yield surprises. The quoted slab was chosen because its dimensions yield the run. A different slab — even the "same" material from a different bundle or production lot — can yield differently, turning a profitable quote into a material-buying one.
  • Sales and shop working from different truths. Sales quotes stone the shop already committed elsewhere, or the shop cuts material sales promised to a pending customer. Both directions cost money and credibility.

What reservation actually means

A proper reservation is not a mental note or a tag on the rack. It is a status on a specific slab record, connected to a specific job, visible to everyone. The slab's lifecycle should read plainly: available → reserved → in production → used, with remnants flowing back as their own records after the cut.

Reservation at quote time matters because quoting is when the promise forms. The estimator picks the slab for its yield and veining; the moment that choice is made, the commitment exists in the customer's mind even if the contract is unsigned.   • Release with a rule. Quotes that die release their slabs on a schedule — two or three weeks of quiet closes the hold automatically. Reservations are meant to be commitments, not a museum of might-have-beens.
  • Link the reservation to the job, permanently. Anyone in the shop — estimator, PM, fabricator — should see which customer holds which slab without asking. The job record carries the reservation; the reservation carries the photos.
  • Show availability at the point of selling. The next quote should never pick from stone that is already spoken for. Live availability in the quoting flow is what prevents the second promise from ever being made.
